How to merge PDF files: a complete step-by-step guide

Merging PDFs is one of the most common document tasks in any workplace. You might have a scanned cover letter, a CV, and a references page sitting as three separate files when a job application portal expects a single upload. Or you have invoices from five suppliers that your accounting software needs as one combined batch. Whatever the scenario, combining PDFs should be quick, reliable, and free — and it does not require Adobe Acrobat.

Before you start: preparing your files

A smooth merge starts with a moment of organisation. Rename your files so they sort in the order you want — for example '01_cover.pdf', '02_body.pdf', '03_appendix.pdf' — before you load them into the tool. This way, even if you do not reorder them manually in the tool, your natural file system sort order is already correct. Also confirm that each file is a valid, readable PDF. A corrupted or password-locked source file can interrupt the merge or produce blank pages in the output.

What merging actually does to your content

Merging takes the page streams from each source file and assembles them, in the sequence you specify, into a single new PDF. Page quality is not degraded — text remains selectable, images keep their original resolution, and embedded fonts carry through directly. You are not re-exporting or re-rendering anything; pages from each source are copied byte-for-byte into the output document. The result is a clean, unified file with the combined content of all your inputs.

How to merge PDFs step by step

  • Open the Merge PDF tool and click 'Upload PDF', or drag your files directly onto the dropzone.
  • Add as many PDFs as you need — the tool accepts two or more files simultaneously.
  • Drag the file cards to set the exact order you want them combined.
  • Enter a name for the merged output file so it is easy to identify when it downloads.

Tips for a clean result

  • Remove password protection before merging — if any source file is locked, unlock it first with the Unlock PDF tool.
  • Fix page orientation before you merge — any sideways pages in a source file stay sideways in the output. Use Rotate PDF to correct them first.
  • Decide the final page order before starting. Rearranging files before merging is far faster than reordering individual pages inside the combined document afterward.
  • For very large batches (10 or more files), merge in two rounds: combine half the files first, then merge the two resulting documents. This keeps the browser comfortable with memory usage.

File size after merging

The merged file will be roughly the sum of the source files' sizes, plus a small structural overhead. Merging does not automatically compress anything. If you need a smaller merged file — for email or an upload portal with a size cap — run the merged result through the Compress PDF tool once the merge is complete. Always compress after merging, not before, so you are optimising the final version in a single pass.
